Integritetsspolicy för rekrytering genom Teamtailor

Tjänsten för hantering av rekryteringar och förenkling av anställningsprocessen ("Tjänsten") drivs av Teamtailor på uppdrag av Scientific Solutions ("Personuppgiftsansvarig" "vi" "oss" etc.). Det är viktigt att de personer som använder Tjänsten ("Användarna") är säkra på, och är informerade om, hur vi hanterar Användarens personuppgifter i rekryteringsprocessen. Vi strävar efter att upprätthålla högsta möjliga standard när det gäller skydd av personuppgifter. Vi behandlar, hanterar, använder och skyddar Användarens personuppgifter i enlighet med denna integritetspolicy ("Integritetspolicy").
1. Allmänt
Vi är Personuppgiftsansvarig i enlighet med gällande personuppgiftslagstiftning. Användarnas personuppgifter behandlas med syftet att hantera och underlätta rekrytering av anställda till vår verksamhet.
2. Insamling av personuppgifter
Vi ansvarar för behandlingen av de personuppgifter som Användarna bidrar med till Tjänsten, och för de personuppgifter som vi på andra sätt samlar in med avseende på Tjänsten.
När och hur vi samlar in personuppgifter
Vi samlar in personuppgifter om Användare från Användare, när Användare:
- gör en ansökan via Tjänsten eller på annat sätt lägger till personuppgifter om sig själv personligen eller genom att använda en tredje part, t. ex. Facebook eller LinkedIn;
- använder Tjänsten för att ansluta till vår personal, genom att lägga till personuppgifter om sig själv personligen eller genom att använda en tredje part, till exempel Facebook eller LinkedIn;
- tillhandahåller identifierbara uppgifter i chatten (som tillhandahålls via den webbplats som använder Tjänsten) och sådana uppgifter som är relevanta för ansökningsförfarandet.
Vi samlar in data från tredje part, som Facebook, LinkedIn och via andra offentliga källor. Detta kallas "Sourcing" och utförs manuellt av våra anställda eller automatiskt i Tjänsten.
I vissa fall kan befintliga anställda göra rekommendationer om potentiella arbetssökande. Sådana anställda kommer att lägga till personuppgifter om potentiella arbetssökande. I de fall detta görs anses den potentiella arbetssökanden som Användare inom ramen för denna integritetspolicy och kommer att informeras om behandlingen.
Kategorier av personuppgifter som är insamlade och som behandlas
De kategorier av personuppgifter som kan samlas in via Tjänsten kan användas för att identifiera fysiska personer från namn, e-post, bilder och videor, information från Facebook och LinkedIn-konton, svar på frågor som ställts genom rekrytering, titlar, utbildning och annan information som Användaren eller andra har tillhandahållit via Tjänsten. Endast personuppgifter som är relevanta för rekryteringsprocessen samlas in och bearbetas.
Ändamålet och lagenligheten av behandlingen
Ändamålet med insamling och behandling av personuppgifter är att hantera rekrytering. Lagligheten i behandlingen av personuppgifter är vårt legitima intresse att förenkla och underlätta rekrytering.
Personuppgifter som behandlas med ändamålet aggregerad analys eller marknadsundersökning görs alltid oidentifierbara. Sådana personuppgifter kan inte användas för att identifiera en viss användare. Sådana personuppgifter anses därför inte som personuppgifter.
Samtycke från den registrerade
Användaren samtycker till behandling av personuppgifter med Personuppgiftsansvariges ändamålet att hantera rekrytering. Användaren samtycker att personuppgifter samlas in via Tjänsten, när Användare;
- gör en ansökan via Tjänsten, och lägger till personuppgifter om sig själv personligen eller genom att använda en tredje part som Facebook eller LinkedIn, och att den Personuppgiftsansvarige kan använda externa sourcing-verktyg för att lägga till ytterligare information; och
- använder Tjänsten för att ansluta till Personuppgiftsansvariges rekryteringsavdelning, och lägger till personuppgifter om sig själv personligen eller genom att använda en tredjepartskälla som Facebook eller LinkedIn.
Användaren samtycker också till att Personuppgiftsansvarige samlar in offentligt tillgänglig information om Användaren och sammanställer dem för användning i rekryteringsändamål.
Användaren samtycker till att personuppgifter som samlas in enligt ovanstående a) och b) behandlas enligt nedanstående avsnitt Lagring och överföring samt Hur länge personuppgifterna behandlas.
Användaren har rätt att återkalla sitt samtycke när som helst genom att kontakta Personuppgiftsansvarige med hjälp av kontaktuppgifterna som anges under 9. Nyttjandet av denna rättighet kan dock innebära att Användaren inte kan ansöka om ett visst jobb eller på annat sätt använda Tjänsten.
Lagring och överföring
De personuppgifter som samlas in via Tjänsten lagras och behandlas inom EU / EES, sådant tredjeland som anses av Europeiska kommissionen för att ha tillräcklig skyddsnivå eller behandlas av sådana leverantörer som har ingått sådana bindande avtal som helt uppfyller lagenligheten av överföringar till tredje land eller till andra leverantörer där tillräckliga skyddsåtgärder finns för att säkerställa de registrerades rättigheter. För att få dokumentation om sådana skyddsåtgärder, kontakta oss med hjälp av kontaktuppgifterna som anges i punkt 9.
Hur länge personuppgifterna behandlas
Så länge en Användare inte skriftligen motsätter sig behandling av sina personuppgifter kommer personuppgifterna att lagras och behandlas av oss så länge vi anser det nödvändigt med hänsyn till ovan angivna syften. Observera att en arbetssökande (Användare) kan vara intressant för framtida rekrytering och för detta ändamål kan vi lagra Användarnas personuppgifter så länge de bedöms som intressanta för potentiella rekryteringar. Om du som Användare önskar att dina personuppgifter inte behandlas för detta ändamål (framtida rekrytering), kontakta oss med hjälp av kontaktuppgifterna i punkt 9.
3. Användarens rättigheter
Användare har rätt att begära information om de personuppgifter som behandlas av oss genom att skriftligen underrätta oss genom att använda kontaktuppgifterna enligt punkt 9 nedan. Användare har rätt till en (1) kopia av de behandlade personuppgifter som tillhör dem utan kostnad. För ytterligare kopior har personuppgiftsansvarig rätt att ta ut en rimlig avgift på grundval av administrativa kostnader för sådan efterfrågan.
Användare har rätt till, vid behov, korrigering av felaktiga personuppgifter om den Användaren, genom att skriftligen begära sådan korrigering med hjälp av kontaktuppgifterna i punkt 9 nedan.
Användaren har rätt att kräva radering eller begränsning av behandling, och rätten att invända mot behandling baserat på berättigat intresse under vissa omständigheter.
Användaren har rätt att återkalla ett samtycke till behandling som har givits av Användaren till den Personuppgiftsansvarige. Att nyttja denna rätt kan dock innebära att användaren inte kan ansöka om ett visst jobb eller på annat sätt använda Tjänsten.
Användaren har under vissa omständigheter rätt till överföring av sina personuppgifter (dataportabilitet), vilket innebär rätten att få ut sina personuppgifter och överföra dessa till en annan personuppgiftsansvarig, så länge detta inte negativt påverkar andras fri- och rättigheter.
Användaren har rätt att lämna in ett klagomål till tillsynsmyndigheten angående behandling av sina personuppgifter, om Användaren anser att behandlingen av personuppgifterna strider mot aktuell personuppgiftslagstiftning.
4. Säkerhet
Vi prioriterar den personliga integriteten och arbetar därför aktivt för att Användares personuppgifter behandlas med största försiktighet. Vi vidtar de åtgärder som rimligen kan krävas för att säkerställa att Användares personuppgifter behandlas säkert och i enlighet med denna Integritetspolicy och GDPR.
Överföring av information via internet och mobila nätverk, kan dock aldrig ske med helt riskfritt, varför all överföring sker på egen risk. Det är viktigt att Användare också tar ansvar för att säkerställa att dennes uppgifter skyddas. Det åligger Användare att tillse att dennes inloggningsuppgifter hålls hemliga.
5. Överföring av personuppgifter till tredje parter
Vi kommer inte sälja eller överföra Användares personuppgifter till tredje parter.
Undantag från ovan gäller tredje part som gett i uppdrag till Scientific Solutions att genomföra rekryteringsprocesser. Användare som deltar i denna typ av rekryteringsprocesser informeras och tillfrågas alltid innan Användarens personuppgifter överförs till tredje part.
Vi kan också komma att överföra personuppgifter till;
- myndigheter eller juridiska rådgivare i händelse av misstänkt brottslighet eller otillbörligt beteende;
- myndigheter, juridiska rådgivare eller andra aktörer, om det krävs av oss enligt lag eller myndighetens beslut; och
- våra leverantörer och underleverantörer, i deras roll som personuppgiftsbiträden och underbiträden, enligt våra instruktioner, för tillhandahållandet av Tjänsten.
Vi samarbetar med följande kategorier av personuppgiftsbiträden; Teamtailor, som tillhandahåller Tjänsten, server- och hostingföretag, företag för e-postutskick, företag för videobearbetning, företag för informationssökning, analytiska serviceföretag och andra företag med koppling till tillhandahållandet av Tjänsten.
6. Aggregerad data (icke identifierbara personuppgifter)
Vi kan komma att dela aggregerad information till tredje part. Den aggregerade informationen har i ett sådant fall sammanställts från information som samlats in genom Tjänsten och kan exempelvis bestå av statistik över internettrafik eller det geografiska läget för användandet av Tjänsten. Aggregerad information innehåller inte någon information som kan härledas till viss individ och utgör därmed inte personuppgifter.
7. Cookies
När Användare använder Tjänsten kommer information om användandet att lagras genom cookies. Cookies är passiva textfiler som lagras av webbläsaren i Användarens enhet, såsom dennes dator, mobil eller surfplatta, vid uppkoppling mot Tjänsten. Vi använder cookies för att underlätta Användarens användning av Tjänsten samt för att inhämta information såsom exempelvis statistik om Användarens användning av Tjänsten. Detta sker i syfte att säkerställa, underhålla och förbättra Tjänsten. Informationen som inhämtas från cookies kan även utgöra personuppgifter och i sådant fall omfattas behandlingen av vår Cookie Policy.
Användare kan när som helst neka användningen av cookies genom att ändra inställningar i sin enhet. Om så sker kan dock Användarens upplevelse av Tjänsten försämras, exempelvis genom att vissa funktioner i Tjänsten inte längre finns tillgängliga.
8. Ändringar
Vi har rätt att när som helst göra ändringar eller tillägg till integritetspolicyn. Den senaste versionen av integritetspolicyn kommer alltid att finnas tillgänglig via Tjänsten. En ny version anses vara kommunicerad till Användarna när Användaren antingen har fått ett e-postmeddelande som informerar Användaren om den nya versionen (med den e-postadress som Användaren anger i samband med användningen av Tjänsten) eller när användaren annars informeras av den nya integritetspolicyn.

Privacy Policy for Recruitment through Teamtailor
The service for managing recruitment and simplifying the hiring process ("the Service") is operated by Teamtailor on behalf of Scientific Solutions ("Data Controller," "we," "us," etc.). It is important that users of the Service ("Users") feel confident and are informed about how we handle Users' personal data in the recruitment process. We strive to maintain the highest possible standard when it comes to the protection of personal data. We process, manage, use, and protect Users' personal data in accordance with this privacy policy ("Privacy Policy").
1. General
We are the Data Controller in accordance with applicable data protection legislation. Users' personal data is processed for the purpose of managing and facilitating the recruitment of employees to our organization.
2. Collection of Personal Data
We are responsible for the processing of the personal data that Users contribute to the Service, or for the personal data that we collect in other ways concerning the Service.
When and How We Collect Personal Data
We collect personal data about Users from Users when Users:
- submit an application through the Service or otherwise add personal data about themselves personally or by using a third party, e.g., Facebook or LinkedIn;
- use the Service to connect with our staff by adding personal data about themselves personally or by using a third party, such as Facebook or LinkedIn;
- provide identifiable information in the chat (provided through the website that uses the Service) and information which is relevant to the application process.
We collect data from third parties, such as Facebook, LinkedIn, and through other public sources. This is referred to as "Sourcing" and is performed manually by our employees or automatically in the Service.
In some cases, existing employees may make recommendations about potential job candidates. Such employees will add personal data about potential job candidates. In cases where this is done, the potential job candidate is considered a User under this privacy policy and will be informed about the processing.
Categories of Personal Data Collected and Processed
The categories of personal data that may be collected via the Service can be used to identify natural persons from names, emails, pictures, and videos, information from Facebook and LinkedIn accounts, responses to questions asked during recruitment, titles, education, and other information that the User or others have provided via the Service. Only personal data which is relevant to the recruitment process is collected and processed.
Purpose and Legality of Processing
The purpose of collecting and processing personal data is to manage recruitment. The legality of the processing of personal data is our legitimate interest in simplifying and facilitating recruitment.
Personal data processed for the purpose of aggregated analysis or market research is always anonymized. Such personal data cannot be used to identify a specific user. Therefore, such personal data is not considered personal data.
Consent from the Data Subject
Processing of personal data by the Data Controller for the purpose of managing recruitment. The User consents to personal data being collected via the Service when the User:
- submits an application through the Service and adds personal data about themselves personally or by using a third party such as Facebook or LinkedIn, and that the Data Controller may use external sourcing tools to add additional information; and
- uses the Service to connect with the Data Controller's recruitment department, and adds personal data about themselves personally or by using a third-party source such as Facebook or LinkedIn.
The User also consents to the Data Controller collecting publicly available information about the User and compiling it for use in recruitment purposes.
The User consents to personal data collected according to the above a) and b) being processed according to the sections below on Storage and Transfer and How Long Personal Data is Processed.
The User has the right to withdraw their consent at any time by contacting the Data Controller using the contact details provided in section 9. However, exercising this right may mean that the User cannot apply for a specific job or otherwise use the Service.
Storage and Transfer
The personal data collected via the Service is stored and processed within the EU/EEA, in third countries deemed by the European Commission to have an adequate level of protection, or processed by vendors that have entered into binding agreements that fully comply with the legality of transfers to third countries or to other vendors where adequate safeguards are in place to ensure the rights of the data subjects. To obtain documentation about such safeguards, please contact us using the contact details provided in section 9.
How Long Personal Data is Processed
As long as a User does not object in writing to the processing of their personal data, the personal data will be stored and processed by us as long as we deem it necessary with respect to the purposes mentioned above. Please note that a job applicant (User) may be of interest for future recruitment, and for this purpose, we may retain Users' personal data as long as they are considered interesting for potential recruitments. If you, as a User, wish for your personal data not to be processed for this purpose (future recruitment), please contact us using the contact details in section 9.
3. User Rights
Users have the right to request information about the personal data processed by us by notifying us in writing using the contact details provided in section 9 below. Users are entitled to one (1) copy of the processed personal data that belongs to them free of charge. For additional copies, the data controller has the right to charge a reasonable fee based on the administrative costs of such a request.
Users have the right, if necessary, to request the correction of inaccurate personal data concerning them by making a written request for such correction using the contact details in section 9 below.
Users have the right to request the deletion or restriction of processing, and the right to object to processing based on legitimate interests under certain circumstances.
Users have the right to withdraw consent for processing that has been given to the Data Controller. However, exercising this right may mean that the user cannot apply for a certain job or otherwise use the Service.
Users have the right, under certain circumstances, to data portability, which means the right to obtain their personal data and transfer it to another data controller, as long as this does not negatively affect the rights and freedoms of others.
Users have the right to lodge a complaint with the supervisory authority regarding the processing of their personal data if they believe that the processing of personal data is in violation of applicable data protection legislation.
4. Security
We prioritize personal privacy and therefore actively work to ensure that Users' personal data is handled with the utmost care. We take reasonable measures to ensure that Users' personal data is processed securely and in accordance with this Privacy Policy and GDPR.
However, the transmission of information via the internet and mobile networks can never be completely risk-free, which is why all transmission is done at the User's own risk. It is important for Users to also take responsibility for ensuring that their information is protected. It is the User's responsibility to ensure that their login credentials are kept confidential.
5. Transfer of Personal Data to Third Parties
We will not sell or transfer Users' personal data to third parties.
Exceptions to the above apply to third parties that have commissioned Scientific Solutions to carry out recruitment processes. Users participating in such recruitment processes are always informed and asked for consent before their personal data is transferred to third parties.
We may also transfer personal data to:
- authorities or legal advisors in the event of suspected criminal activity or misconduct;
- authorities, legal advisors, or other entities, if required by law or by a decision of an authority; and
- our suppliers and subcontractors, in their role as data processors and sub-processors, according to our instructions, for the provision of the Service.
We collaborate with the following categories of data processors: Teamtailor, which provides the Service, server and hosting companies, email distribution companies, video processing companies, information retrieval companies, analytical service companies, and other companies related to the provision of the Service.
6. Aggregated data (non-identifiable personal data)
We may share aggregated information with third parties. In such cases, the aggregated information has been compiled from data collected through the Service and may, for example, consist of statistics on internet traffic or the geographical location of the use of the Service. Aggregated information does not contain any information that can be traced back to a specific individual and therefore does not constitute personal data.
7. Cookies
When Users use the Service, information about the usage will be stored through cookies. Cookies are passive text files that are stored by the browser on the User's device, such as their computer, mobile phone, or tablet, when connecting to the Service. We use cookies to facilitate the User's use of the Service as well as to collect information such as statistics about the User's usage of the Service. This is done in order to ensure, maintain, and improve the Service. The information collected from cookies may also constitute personal data, and in such cases, the processing is covered by our Cookie Policy.
Users can refuse the use of cookies at any time by changing the settings on their device. However, if this occurs, the User's experience of the Service may be impaired, for example, by certain features of the Service no longer being available.
8. Changes
We reserve the right to make changes or additions to the privacy policy at any time. The latest version of the privacy policy will always be available through the Service. A new version is considered to be communicated to Users when the User has either received an email informing them of the new version (to the email address provided by the User in connection with the use of the Service) or when the User is otherwise informed of the new privacy policy.
